AI integration services connect an AI model to the software you already use, like your inbox, CRM, shared drive or accounting tool, so it can read real records and take a defined action instead of waiting for someone to paste things into a chat. When an integration breaks, check the model last. Look first at access, messy data, and the limits other software puts on how much can be read, and how fast.

**TL;DR**

- An integration gives AI read access, one defined action, and a person checking.
- Plan for access, data quality and API limits before you plan the AI.
- Ask whose accounts it runs on and what happens when an app changes.

## What does AI integration actually connect?

Three kinds of link, in rising order of risk. Reading: the AI can look up a customer record, a past quote or a policy document. Writing: it can draft a reply, add a note to a deal, or fill in a form. Triggering: something happening in one tool, like a new form submission, starts the AI on its task.

Under the hood, the model reaches your software through tools you define for it. OpenAI's documentation calls this [function calling, or tool calling](https://developers.openai.com/docs/guides/function-calling). Each connection used to be its own custom job. When Anthropic introduced the Model Context Protocol, it named that problem directly: ["Every new data source requires its own custom implementation, making truly connected systems difficult to scale."](https://www.anthropic.com/news/model-context-protocol) Standards like that make connecting easier. They don't decide what the AI should be allowed to touch. You still do.

## Where do integrations break first?

Larger companies report the same trouble at scale. In MuleSoft's 2025 survey of IT leaders, [95% said they face challenges integrating AI into existing processes, and 80% named data integration as their most significant obstacle](https://www.salesforce.com/blog/mulesoft-connectivity-benchmark-2025/). For a small business, these are the places to look first:

- **Access.** The account is in a former employee's name, nobody has admin rights, or the connection was set up with a personal login that expires. The integration works on day one and stops on day forty.
- **Messy data.** The same customer spelled three ways, quotes saved as PDFs in one folder and emails in another, a required field that's blank half the time. The AI does its job on bad inputs and produces confident nonsense.
- **Limits on the other side.** Business software caps how often it can be read. HubSpot, for example, limits private apps on its Free and Starter plans to [100 requests every 10 seconds and 250,000 a day](https://developers.hubspot.com/docs/developer-tooling/platform/usage-guidelines), and anything over that gets an error. A job that loops through every record at once can hit that wall.
- **App changes.** A tool renames a field, moves a setting or retires an old connection method, and a step that worked last month quietly fails.
- **Cases nobody wrote down.** The rush order, the customer with a special price, the request that arrives half finished.

## Why is messy data harder than the AI part?

Because the AI can't tell which of your three customer lists is right, and neither can a new hire. Fixing it means decisions only you can make: which list wins, which fields are required, where quotes live from now on. That's slow, unglamorous work, and on a messy data set it can take longer than the AI part.

If your data is in rough shape, look at [how AI workflow automation handles messy inputs](https://ai-marketinglabs.com/lab-experiments/ai-workflow-automation-finally-works-on-messy-inputs) before you decide how much cleanup to pay for.

## What should be settled before anyone builds?

- A list of every system the workflow touches, and who has admin access to each.
- A sample export of the real data, so the builder sees what it actually looks like.
- Which actions the AI may take on its own and which need a person's approval.
- What happens when a step fails: who gets told, and how.
- The before number for the task, so you can tell later whether it worked.

Start with read access and drafts a person approves. Let the AI write to a system on its own only after it has handled real work correctly for a while.

## What should an integration service hand you when it's done?

Connections that run on accounts in your business's name. A plain-language note on what each step does and where it tends to break. Alerts that tell a named person when something fails. And someone on your side trained to fix the simple problems. For the fuller list, see [what a good AI consultant should leave you with](https://ai-marketinglabs.com/lab-experiments/what-ai-consultant-services-should-leave-you-with).

## What does an integration cost to keep running?

More than the build invoice suggests. Each connected tool may need a paid plan that allows outside connections. The AI model charges for what it processes, so a job that reads every email costs more than one that reads only new quote requests. Some connector tools bill by the number of tasks run. And someone has to fix it when an app changes, whether that's a support agreement or an hour of your own time.

Ask for the monthly running cost of every piece in the proposal, and how it grows if volume doubles. A cheap build with expensive running costs isn't cheap.

## When don't you need an integration service?

When the software you already pay for has the AI feature built in, or when a simple connector tool links two apps without custom work. Check those first. Paying for a custom build makes sense when the task crosses several systems, the off-the-shelf option almost fits but breaks on the part that matters, or you need to own the result. There's more on that call in [whether to build or buy AI](https://ai-marketinglabs.com/lab-experiments/should-you-build-vs-buy-ai).

## Who builds integrations around your own tools?

AI Marketing Labs builds Custom AI Automations around one repeatable process: the quote, the intake, the onboarding that eats a day. The build runs on your own tools, you own it outright, and your people are trained to run it. If AI can't do the job well, we'll say so before you spend anything.

## Frequently asked questions

Is an API the same thing as an AI integration?

No. An API is the door a piece of software opens for other programs. An integration is the whole job built on top of it: which data the AI reads, what it's allowed to do, and who checks the result.

Can an AI integration change records in my CRM safely?

It can, with limits. Start with drafts or notes a person approves, restrict it to the fields it needs, and keep a log of every change so mistakes are easy to find and undo.

Do AI integration services lock me into one AI model?

They shouldn't. Ask how hard it would be to swap the model later. A build that keeps your instructions, data connections and model choice separate is easier to change.
