The best AI for small business is the one that fits where your work already lives. If your email and files sit in Google Workspace, start with Gemini. If you run on Microsoft 365, start with Copilot. If your work is mostly writing, long documents and client messages and you're not tied to either suite, ChatGPT and Claude are the two to test. Then decide on three tasks from your own week, not on someone's ranking.

**TL;DR**

- ChatGPT and Claude run $20 to $25 a person; Gemini and Copilot sit inside suites you may already pay for.
- Business plans don't train on your data by default.
- Run the same three real tasks through each before paying annually.

## How do ChatGPT, Claude, Gemini and Copilot compare for a small business?

On price they're close. The real differences are where each one works and what it can reach. Here's what each vendor lists for business plans, checked on November 3, 2026:

| Assistant | Business plan and price | Where it works | Trains on your business data? |
| --- | --- | --- | --- |
| ChatGPT | Business: $25 per user a month, or $20 billed annually; two-seat minimum | Its own app, with connectors to Google Drive, SharePoint, Slack and more | No: "No training on your data" |
| Claude | Team: $25 per seat a month, or $20 billed annually; 2 to 150 seats | Its own app, with connectors for Gmail, Google Calendar and Drive, plus a Claude for Microsoft 365 extension | No model training on your content by default |
| Gemini | Inside Google Workspace: Business Starter from $7, Business Standard from $14 per user a month | Gmail on Starter; Gmail, Docs, Sheets, Drive and Meet on Standard | No, per Google's Workspace privacy page |
| Microsoft 365 Copilot | Copilot Business: $21 per user a month yearly ($18 on promotion through December 31, 2026), added to a Microsoft 365 business license | Word, Excel, PowerPoint, Outlook and Teams | No, per Microsoft's Copilot privacy page |

Prices change often, so check before you buy.

## Why does the software you already use matter most?

Because an assistant that can see your inbox and files saves you the copy and paste, and copy and paste eats time. Gemini works inside the Gmail and Docs you already have open. Copilot works inside Outlook, Word and Excel. If you already pay for Google Workspace Business Standard, you may be paying for Gemini whether you use it or not, which makes it the cheapest one to try first.

ChatGPT and Claude reach your files through connectors instead. Claude's Google Workspace connectors can search and draft in Gmail, check your calendar and pull from Drive, and Anthropic says Claude asks for approval before each email it sends by default ([Claude Help Center](https://support.claude.com/en/articles/10166901-use-google-workspace-connectors)). That works, but it's one more thing to set up and keep connected.

## When is ChatGPT or Claude the better pick?

When your business doesn't live in one suite, or the work is mostly words. A bookkeeper who writes client explanations all day, a consultant drafting proposals, a shop owner answering long customer emails: these jobs depend on how well the assistant writes and reasons, not on which office suite it sits in. Test both on your own documents. You may prefer one for drafting and the other for working through a long contract or report, and that preference is the answer that counts.

If you're unsure where to point it first, [match the problem to the kind of AI that fixes it](https://ai-marketinglabs.com/lab-experiments/which-ai-solutions-for-small-business-fix-which-problems).

## Is your data safe on a business plan?

On the business plans, all four vendors say they don't train their models on your business data. Google says it does "not use your Workspace data to train or improve the underlying generative AI and large language models" ([Google Workspace help](https://support.google.com/docs/answer/14615114?hl=en)). Microsoft says prompts, responses and the data Copilot reaches "aren't used to train foundation LLMs" ([Microsoft Learn](https://learn.microsoft.com/en-us/microsoft-365/copilot/microsoft-365-copilot-privacy)).

Personal plans are different. On ChatGPT's Free and Plus plans and on Claude Pro, training on your chats is something you opt out of in settings, according to the [ChatGPT](https://chatgpt.com/pricing) and [Claude](https://claude.com/pricing) pricing pages. If staff are putting customer details into a personal account, move them to the business plan or switch that setting off.

## How do you test them on your own work?

1. **Pick three tasks from last week.** A customer email that needed a careful reply, a long document you had to summarize, and notes you turned into a quote, proposal or plan.
2. **Give each assistant the same material and the same instructions.** Paste in the real email, the real document, the real notes, with anything sensitive removed.
3. **Score what comes back.** How many edits before you'd send it? Did it get anything wrong? Did it miss something you'd have caught?
4. **Run it twice.** Answers vary between runs, so one good result isn't enough.
5. **Try the connection.** If you'd want it reading your inbox or files, set that up during the trial, not after you've paid for a year.

An afternoon of this tells you more than any comparison chart, including the one above. Keep the scores; they'll help when your team asks why you picked the one you did.

If you'd rather get good at it by building alongside other owners, AI Marketing Labs runs [The Lab](https://ai-marketinglabs.com/the-lab): three live sessions a week where we build a real system end to end, office hours where we work through your problem live on your screen, and recordings of every session. It's $349 a month, cancel anytime.

## Can you switch later if you pick wrong?

Yes, and more easily than with most business software. Rick Kranz, co-founder of AI Marketing Labs, put it this way: "But with these LLMs, it's really easy to jump from one to the other. Relative speaking, relative to what it's been like trying to switch from one software platform another in a business environment is relatively a lot easier." Keep your best prompts and instructions in a document you own, and pay monthly until one has earned its place.

## Frequently asked questions

Can one AI assistant cover everything a small business needs?

For drafting, summarizing and research, one assistant can carry a lot. Add a second tool only when a job needs something the first one can't do, like working inside a system it can't connect to.

Should the whole team use the same AI?

For shared work, yes. One assistant means one set of instructions, one bill and one set of data terms to check. People can still try others on their own time, as long as company and customer material stays on the business plan.

What should you never put into an AI assistant?

On free or personal plans, keep out customer personal details, passwords and anything covered by a confidentiality agreement. On a business plan, follow its data terms and your own client contracts.
